BashKPI Hub

Administration for your whole account

BashKPI Hub is where administrators run the account: who can sign in, what each role can do, which Locations exist, how data gets in, and what WrapUp and TickeTrack ask for. Each page below is a separate permission, so someone can manage Locations without seeing Billing.

The Hub Front Page
A summary of your account

Who can use this: anyone who can open at least one Hub page. Each summary block only appears if you can open the page it summarizes.

The front page is a set of short summaries, each linking to its page: Needs Attention, Team (how many people, how many roles), Locations (active, inactive and groups), Subscription, Data Pulls (the latest sync), Scheduled Reports, Alert Rules and Held Vendor Email. Recent Activity lists changes made in your account in the last 30 days, such as users, roles, Locations and setup, and only shows lines for areas you can open.

The menu on the left lists the Hub pages you can open, in three groups: Organization, WrapUp Setup and TickeTrack Setup.

Company
Your organization's details

Who can use this: people with Company access. Each of the four cards has its own Can Edit permission.

 • Company Identity: organization name, timezone and logo. The timezone decides when scheduled reports are delivered. Select Choose logo to upload one. It is fitted into a 40 by 40 pixel box in the header, and Remove logo takes it away.
 • Account Number: your billing account number. It is assigned once billing is active.
 • Account Holder: the main billing contact's name, email and phone.
 • Billing Address and Shipping Address: select "Same as billing address" if they match.

Fields marked with an asterisk are required. Save the card when you finish.

Locations
Your stores and how they are grouped

Who can use this: people with Locations access. Identity, Location Details, Financial and Reporting Groups each have their own Can Edit permission. Switching a Location on or off also needs the billing permission Can Deactivate/Activate Locations.

Choose a Location from the list on the left. New Locations from your point of sale appear on their own, and administrators are emailed when one is found. For each Location you can set:

 • Identity: a display name (if blank, the Toast name is used), the brand, and whether it is Active. Select Deactivate to switch it off.
 • Reporting Groups: select Edit groups, tick the groups the Location belongs to, or type a new group name and select Add. A Location can be in more than one group.
 • Location Details: address, country and timezone. The address feeds the weather tile in WrapUp.
 • Financial: GL entity codes (separate several with commas) and the default COG %. The Dashboard uses the default when the cost of goods report isn't available.
 • System Info: read only, including the Toast ID.
Changes who can see whatPutting a Location in or out of a Reporting Group changes who can see it, because people can be assigned a whole group. Deactivating a Location also changes how many Locations your subscription is billed for.
Users
Who can sign in and what they can see

Who can use this: people with Users access. Can Add Users, Can Edit, Can Delete Users and Can Send Welcome Emails are separate permissions. You can't give anyone more access than you have yourself, and the last Client Admin can't be removed.

1Add a person

 1. Select Add user +. Step 1 of 2 is Basic info.
 2. Enter their BashKPI email (their Microsoft work email) and display name.
 3. Choose their Locations: Reporting Groups, individual Locations, or both. Optionally set a Home Store, which WrapUp opens to. Save to move on.
 4. Step 2 of 2 is Permissions. Choose a Role. The permissions below it come from that role.
 5. Save, then use Send welcome email so they know where to sign in.

2Change someone's access

Select a person to open them. Edit the details, Locations, Home Store or role. If one person needs something their role doesn't give, switch it on or off as an Exception for this person. Exceptions are for rare cases, so use a role when several people need the same thing. Select Remove user to take away their access.

3Send a welcome email

Select Send welcome email, choose Bash or WrapUp (the email links straight to that app), tick the people, and select Send. The email has a link and no login details, because sign-in is Microsoft.

Heads upThe list can be filtered by role. A person with no role yet can't use anything. They are marked Finish setup, and you can choose Finish setup in the role filter to list them.
Roles
What each role can do

Who can use this: people with Roles access. You can only change what you are allowed to give.

Roles are columns, permissions are rows. Everything is off by default, so a new role can do nothing until you switch things on.

The tabs

Bash, WrapUp, Organization (Hub pages) and TickeTrack.

Pages and blocks

Turn a page on, then choose which of its blocks show. A parent switched off turns its children off.

Can Edit

Blocks that save something have a separate Can Edit. Without it the block is read-only.

Find

Type in Find a page or block, or select Expand all to see every row.

 1. Find the permission row and the role's column, then switch it on or off.
 2. To add a role, select + between two columns. Select the pencil on a role to rename it. You can have three to six roles.
 3. Save your changes.

Roles stay in a fixed order from least to most senior (for example Associate, Manager, Director). Order sets who can manage whom; it doesn't pass permissions along. The Client Admin always has everything and isn't a column.

Best practiceGive most people a role and use exceptions only for the odd case. Check the role's count under its name ("12 of 48 on") to see how much it can do.
Billing
Your BashKPI subscription

Who can use this: people with Billing access. Payment Method, Invoices, Subscription and the reactivate and Location on/off permissions are separate.

 • Products and Features: your active subscriptions.
 • Payment History: every invoice, with its due date, status, amount and statement.
 • Payment Method: the card on file, charged automatically on the due date. Select Change payment method to update it.
 • Contact Details: your billing contact, and BashKPI's.
Account on holdIf a payment fails, everyone sees "Account On Hold" and only the payment screens work. Anyone with Billing access can update the card or pay the invoice, and the account opens again.
Integrations
Connect your point of sale and accounting

Who can use this: people with Integrations access. Pull Schedules, Manual Pull, GL Upload, Account Mapping, Third Party and Scheduling Source each have their own Can Edit.

Integrations has four tabs:

 • Point of Sale: sales and labor come from Toast. Pull Schedules sets when data is pulled (select Add schedule). Manual Pull pulls a date range now, and shows the last pull. Pull History lists the last 200 pulls, including failures.
 • Accounting: upload a GL report as a CSV exported from Sage Intacct, by dropping it in or browsing for it. Only new entries by issue date are added. Upload History shows the last 200. Under Account Mapping, add groups and say whether each counts as Cost of sales, Operating expense or Non-controllable. Profit and Loss and Purchasing use this.
 • Third Party: paste each Location's Google Place ID, Yelp Business ID, DoorDash and Uber Eats Store IDs and Grubhub Restaurant ID. The page explains where to find each one. Paste only the ID, not the whole link.
 • Scheduling: choose where labor schedules come from, Classic (entered by hand in WrapUp) or Toast (Scheduling by Sling). Detected in Toast shows what switching would find before you commit.
Best practiceIf a number in Bash looks wrong, check Pull History first. It shows the date, type and result of every pull.
Notifications
Reports and alerts by email

Who can use this: Bash Reports and WrapUp Reports need those report permissions, and Alerts needs Alert Rules. You see the tabs your role includes.

1Schedule a report

 1. Open Bash Reports and select Add report.
 2. Name it, then choose the type: Dashboard Summary, Revenue, Third Party, Purchasing, Discounts, Reviews, Overtime Warning, Multi-Location Employees or Discounts Breakdown.
 3. Choose up to three periods (Today, Yesterday, This Week, Last Week, This Month, Last Month or This Year). Each becomes a section of one email.
 4. Leave Locations blank for all of them, or choose some.
 5. Choose Weekly or Monthly, the days or dates to repeat on, and the send time. The company timezone sets the time.
 6. Add up to 15 recipients and save.

2Send a report right now

Select Instant report, choose the type, up to two periods, Locations and up to five recipients, then Send now.

3WrapUp reports and alerts

WrapUp Reports work the same way, with one report: Completion % by Store. In Alerts, turn on the ones you want, add the email addresses to tell (separate several with commas), and choose how often: immediately or in a daily or weekly digest. The alerts are Pull Status, API Auth Expiry, App Outage, Microsoft Outage, New Location Found, New User Added and User Edited.

Limits you will hitInstant reports allow 3 in a minute, then a 10-minute pause. Emails from the Export button are limited to 10 an hour per person.
WrapUp Setup
What the shift teams are asked

Who can use this: people whose role includes the matching setting under WrapUp: HACCP, Cleaning Schedule Settings or Journal. Each can be view-only or editable.

1HACCP

The Food Safety Log has a fixed checklist and a list of ingredient readings that you control. Select Add ingredient, enter its name, choose where it is kept (for example Walk-in Cooler or Prep Room), then choose the check: Temperature with a Min and Max in °F, Quality with a description shown behind an info icon, or both.

2Cleaning Schedule

Choose a Brand. Its tasks show on a calendar, and you can switch between Month, Agenda and Tasks views. Use Add task to create one with a title, start date, station (or add a new station), AM or PM, how it repeats (never, daily, weekly, biweekly, monthly, quarterly or yearly) and the days of the week. When you change a repeating task you choose This task only or This and all future tasks. Import from another brand copies tasks across.

3Journal

The Journal checklist works the same way, but each item is for AM, PM or both. These are the items the Logbook asks the team to tick.

Heads upTasks belong to a brand and show up in WrapUp for every Location with that brand.
TickeTrack Setup
Categories, forms and vendors

Who can use this: people with the matching TickeTrack setup permission: Ticket categories, Ticket builder, Ticket vendors or Held vendor email. The four pages only appear if your organization uses TickeTrack.

 • Tickets: the six categories (Tech Support, Maintenance, Equipment, Ordering, Accounting and Human Resources). For each you see its reasons, its default handling (Internal team or a vendor) and who works it. Who works a category is set in Roles (TickeTrack tab) or, for one person, in Users. Until someone is given a category, only the Client Admin sees its tickets.
 • Builder: pick a category, then a reason. For each reason set its Form (questions of type short text, long text, dropdown, yes or no, number or date, with Required and Share with the vendor), its Handling (who gets it, with overrides for a Location or Reporting Group) and its Rules (raise the priority, or stop the form and show a message). Name, Location and "Reported by" are always asked. Starter reasons become yours the first time you save.
 • Vendors: add each outside company with Add vendor +: its name, the mailbox tickets are sent to, the domains replies may come from, and the people allowed to reply. Mark a vendor Inactive to stop sending to it.
 • Needs Review: vendor replies that weren't added to a ticket, with the reason, such as an unknown sender. Choose Add to ticket or Dismiss. Select Check for new mail to look now.
Heads upAnything people see in TickeTrack is what you set here. If a ticket form asks the wrong thing, fix its reason in the Builder. Read the TickeTrack guide.
